POSITION
SUMMARY:
This is an administrative assistant position, serving as assistant to the
Associate Dean, Research and Graduate Programs and supporting the operations of
the Graduate School of Pharmaceutical Sciences, a department of 24 faculty and
over 50 students. This individual shall
demonstrate organizational skills, accuracy, diplomacy and good people
skills. The administrative assistant
will exhibit independence, working within established policies, while
cooperating with other staff of the Graduate School of Pharmaceutical Sciences
and the Mylan School of Pharmacy to advance the goals of GSPS. The individual
shall serve as a liaison between the GSPS and other departments at Duquesne
University.
DUTIES
AND RESPONSIBILITIES:
Provides reports in the format requested, including but not limited to:
financial, budgets, enrollment stats as requested, technology inventory,
provide information for the school annual reports (webform & excel
spreadsheet), etc.
Provides timely, accurate and approved
(per the policy) schedules, timesheets, Kronos submissions and/or leave
requests.
Provides support to your designated
back up person and administrative staff members.
Serves as Administrative Assistant to Assoc. Dean, Research and Graduate
Programs.
Manage the Assoc. Dean’s calendar;
assist in planning conferences, travel and related events; schedule meetings
and follows up as needed.
Develops complex presentations and
Excel spreadsheets, compile and reports data on various topics.
Maintains working order of office
equipment, orders office supplies.
Completes other
duties as assigned.
REQUIREMENTS:
Minimum qualifications:
Associates degree
in a related field from an accredited institution.
Preferred Qualifications:
Bachelor’s degree
in a related field from an accredited institution.
Alternately, the successful candidate may possess any equivalent combination of
experience and training, which provides the knowledge, skills and abilities
required to perform the essential job functions. This includes, but is not
limited to, the following:
Unimarket processing
Prepare mailings
for GSPS
Submit work
orders for GSPS
Receives incoming
phone calls and mail for GSPS
Prepare reports,
memoranda, and correspondence for Assoc. Dean
Prepare, compile,
and maintain statistics, records, files, materials, and resource databases
Maintain
confidential files
Attend meetings
as assigned, prepare agendas/minutes and track action items
Ensure that
completed work conforms to established standards and criteria; establishes
proper and effective procedures
Maintain various
budgets within the GSPS as directed by the Assoc. Dean
Maintain budget
for AAPS Student Chapter, as directed by Assoc. Dean
Maintain
Undergraduate Travel Authorization Process
Generate
Tuition/Stipend Admission Letters
Complete RAPP
through Banner, including BDM Indexing of all applications
BDM management of
all student files
Plan/execute TA Orientation Week
