Academic Operations Coordinator – Nursing

Salary: Commensurate with experience

POSITION SUMMARY:

Major areas of work include,but are not limited to operations support, program evaluation, data management, program, professional reports, and written/oral communication. Supports and coordinates a database for strong academic program outcome analysis, including collection, analysis, storage, and dissemination of outcomes.Participates in activities from the Office for Academic Affairs that fosters strong academic programs and efficient administrative processes among administration, faculty, staff, students, employers, and community partners. Reports directly to the Director of Operations.

 

DUTIES AND RESPONSIBILITIES:

Advance the development and maintenance of School of Nursing databases related to course projections, student attrition and retention, state board of nursing requirements and evaluation for the Office of Academic Affairs

Work with the Director of Academic Operations to monitor new student headcount and designated track/program, and communicate information to the Associate Dean for Academic Affairs and Associate Dean for Student and Alumni Affairs

Manage onboard processes for new students admitted into School of Nursing online programs

Maintain ongoing communication with Academic Advisors about newly admitted graduate students

Initiate email communication to newly admitted students containing their academic program plan and expectations about the virtual orientation

Collaborate with Graduate Academic Advisors to maintain and update student program plans

Manage data collection activities related to assessments scheduled at regular intervals: Enrollment process, SPOT/CTEQ Survey management course evaluations, student exit surveys, alumni surveys, employer surveys, national and state required surveys, pass rates, rankings, graduate student graduate employment & student retention rates.

Perform follow-up on evaluation activities to ensure appropriate changes are made as a result of the evaluation data.

Comply with national accreditation standards and state regulatory bodies (i.e., CCNE, PA State Board of Nursing, etc.) in collecting, analyzing, compiling, and disseminating program valuation processes.

Support the administration of exams in the School of Nursing as needed.

Databases:

Maintains database on student projections, attrition/retention, evaluation, accreditation, etc.

Create new databases and maintain/update existing databases related to academic affairs

Generate reports related to database work as requested

Gain expertise in various software programs utilized by the school of nursing and university to collect data and disseminate reports (i.e., SLATE, CANVAS, BASECAMP, BANNER, WATERMARK, Sedona, Project Concert, Basecamp,etc.)

Manages tableau database management

Maintains updated records of State Board Requirements for compliance with SARA and Title IV

Professional Reports:

Coordinates and generates professional reports related to academic affairs, including, university assessment reports, accreditation reports, etc.

Communication:

Disseminates information both orally and in writing to all stakeholders involved(i.e., administrators, staff, faculty,students, university personnel, community, etc.) in a professional and timely manner

Interfaces in a professional, timely, and effective manner with stakeholders and university personnel

Demonstrates initiative in seeking innovative approaches to strengthen processes and outcomes

Perform related duties and responsibilities, as assigned.

 

REQUIREMENTS:

Minimum qualifications:

Bachelor’s degree from an accredited institution with course work in program evaluation or statistics and 2-5 years of progressively responsible positions and data management experience.

Preferred qualifications:

Master's degree from an accredited institution and prior experience working in higher education administration is preferred

Alternately, the successful candidate may possess any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to, the following:

Strong computer skills, including knowledge of the entire MS Office Suite specializing in data management/spreadsheets (Excel), survey software, and professional presentations (PowerPoint)

Ability to work independently on complex and confidential issues related to the day-to-day operations of a department

Strong leadership, organizational, supervisory, and communication skills

Ability to respond to unexpected situations and demands using effective problem-solving skills

Professional behaviors in coordinating

Effective organizational, administrative, and team-building skills required

Ability to initiate and follow through with work responsibilities in order to meet deadlines
