Assistant Director, Enrollment Reporting– Enrollment Management Group

POSITION SUMMARY:

Under the primary direction of the Director of Enrollment Research and Effectiveness, the Assistant Director of Enrollment Reporting serves as an integrated member of EM Group’s Research, Analytics, and Effectiveness, Financial Aid, Admissions and Enrollment Marketing teams in support of decision support and strategic planning for the Office of the Senior Vice President for Enrollment Management. Manages the survey and reporting cycle pertinent to all direct responses from EM to all mandatory, cyclical, grant-related and ad hoc requests for data from, or being submitted to, external sources, including but not limited to federal and state agencies, accrediting bodies, commercial entities, and peer universities. Responsible for the timely submission of EM-related IPEDS data; serve as the EM content expert for the IPEDS system and common data set; assist others in understanding the scope and type of data available, and provide data required for institutional and programmatic accreditation, new program development, program reviews, and annual reports.

 

DUTIES AND RESPONSIBILITIES:

Survey Data, Reporting, and Data Compilation and Deployment

Manages the survey and reporting cycle pertinent to all direct responses from EM to all mandatory, cyclical, grant-related and ad hoc requests for data from, or being submitted to, external sources, including but not limited to federal and state agencies, accrediting bodies, commercial entities, and peer universities.

Responsible for the timely submission of EM-related IPEDS data; serve as the EM content expert for the IPEDS system and Common Data Set; assist others in understanding the scope and type of data available, and provide data required for institutional and programmatic accreditation, new program development, program reviews, and annual reports.

Assists the EM Group in the administration and compilation of institution-wide surveys being led by the Office of Institutional Research.

Supports academic and administrative departments in internal survey administrations and external data reporting.

Performs other duties as assigned by the Director or EM Senior Vice President.

Assists with collection and compilation of the 5th week enrollment statistics.
     Admissions funnel statistics – selectivity, yield
     Standardized test score statistics
     Lead statistics
     Discount Rate statistics
     Enrollment comparisons to budget and prior year statistics
     Retention statistic

Reporting, Analytics, and Decision Support

Produces standard weekly reports as well as monthly, annual and ad-hoc reports.

Creates dashboards and other reports for Enrollment Managers.

Writes, maintains, and supports a variety of reports or queries in Cognos, Technolutions Slate, PowerBI; assists in development of standard reports for ongoing department and customer needs; maintains data integrity in systems by running queries and analyzing data.

Extracts data from the University’s systems and publicly or vendor available sources to create reports and dashboards for campus stakeholders.

Reports and dashboards may include tables, charts, executive summaries, and/or other items as needed.

Works with data sets, including extracting, merging, cleaning, loading, and transforming data to meet reporting needs from the Enterprise system (Banner) or the CRM (Slate) on behalf of EM Group.

Collect trend data regarding the university in relation to admissions topics among its peer and aspirational institutions.

Responsible for providing data required for institutional and programmatic accreditation, new program development, program reviews, and annual reports.

Assists in fulfilling internal and external data requests on behalf of EM.

Data Validation, Automation, and QA

Undertake report-related process automation and workflow.

Automate routine/annual reporting and survey tasks and output deployment activities.

Serves on Standing Committees and ad hoc groups as requested by the Director or other EM leadership.

Participates in formal data governance and data management practices.

Collaborate with cross-functional teams to ensure the integrity and timely delivery of regulatory reporting.

Develops a data discrepancy strategy in partnership with systems and operations teams to enhance data integrity, improve validation and reconciliation, and strengthen reporting validity.

Perform data audits and validation, develop checks to identify data quality issues, and work with appropriate staff to resolve issues as needed.

Communicate with personnel division-wide with an overt focus on the needs of leadership to identify and translate business requirements into CRM and BI reporting solutions.

Capacity Building & Training

Participates in the implementation of Enrollment Management based technology projects and performs other duties as assigned or directed.

Documents code and key survey/reporting activities in Sharepoint.

Participates in agile planning and project management activities.

Mentors enrollment management staff on data extraction, query building, surveys, and reporting.

Attends and assists with Enrollment Management events as necessary (Duq Day, Admitted Student Events, etc.)

 

REQUIREMENTS:

Minimum qualifications:

Bachelor’s degree from an accredited institution in Applied Social Sciences, Computer Science, Information Systems, Statistics, Data Analytics, Business, or closely related field of study and one to two years of related experience.

Three or more years of related experience.

Preferred qualifications:

Master’s Degree from accredited institution in Social Sciences or applied Social Sciences, Statistics, Data Science or Analytics, Computer Science, Information Systems, Business, Mathematics, Higher Education Administration or any related field.

Experience with Banner student system and Cognos reporting tools is preferred.

Post-secondary education experience preferred.

Alternately, the successful candidate may possess any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to, the following:

CRM experience, data mining, report and query building experience, ETL and Data integration experience, Ellucian Banner student system or other ERP experience, SPSS, IBM Cognos experience,  Microsoft data tools (Power BI, Excel, Access), business intelligence and visualization tools (Tableau, Power BI, etc.), Agile Planning/Project Management Experience, Data interpretation and presentation experience and proficiency in Microsoft Office Suite (Excel, Access, Word, Power Point) required.

Other Knowledge, Skills and Abilities include:

Demonstrated experience optimizing Argos or Cognos banded reporting and automation potential for supporting EM group.

Demonstrated ability to conduct statistical analyses using tools such as SPSS, Stata, R, Python, SAS, and Excel.

Evidence of using creative problem-solving, data science, and statistical analysis to develop solutions that match unique project and reporting needs.

A clear ability to verbally and visually present information that is easily interpretable by technical and non-technical audiences using various formats including visual data platforms (e.g., Tableau or Microsoft PowerBI), Microsoft Excel, and PowerPoint.

Demonstrated time management skills including clearly defining and planning activities and setting personal and working team priorities, juggling competing priorities in a fast-paced, complex environment.

Demonstrated high level of proficiency with query languages, use of relational databases, and enterprise data/application integration and systems activities.

A commitment to and understanding of agile project management practices.

Ability to translate business needs into elegant and sustainable technical reporting solutions.

Strong understanding of student system database design, structures, functions, and processes.

Effective organizational and interpersonal skills including strong written and verbal communications skills.

Possess strong customer service skills.

Possess a proactive results-oriented attitude.

Strong analytical and problem-solving skills with demonstrated ability to reason logically and develop alternative solutions for complex information system issues.

Knowledge of CRM (preferably Technolutions Slate), data mining, reports and queries, and SQL coding.

Experience managing data and database systems in client servers and personal computer environments is essential to meeting the responsibilities of the position.
