Administrative Assistant for Music Admissions – School of Music

Salary:                Commensurate with experience

POSITION SUMMARY:

This position will serve the Department of Music Admissions and provide support to the Assistant Dean of Music Admissions and Community Engagement.  The position is the first point of contact during recruitment season and various recruitment events. This person requires interpersonal skills, proficient computer skills, and the ability to work independently.

DUTIES AND RESPONSIBILITIES:
 
Event Coordination and Support

Assists fully in preparing for (and participating in) University Open Houses, Showcase Saturday, School audition days, Orientation and accepted student events.

Assists with scheduling and coordinating various preview day events and audition days.

Work with various faculty members to ensure availability for audition days and collect data from auditions.

Partner with faculty and staff to involve alumni in concerts, receptions, and university -wide events such as Homecoming, DUQ Days, and Christmas at Duquesne.

Schedule and coordinate student ambassador support for various Mary Pappert School of Music events.

Communication and interaction with prospective students and family members.

Exemplifies an attitude of friendly and helpful service toward prospective students, family members, current students, office staff, administrators, and faculty.

Give tours of the School of Music and meets with prospective students in the absence of the Assistant Dean of Music Admissions.

Correspondence to students after visits and congratulations after passing their audition in the form of handwritten note cards.

Communication with prospective students, family members, office and administrative staff, and faculty using the CMC email, Admissions email, and Duquesne personal email.

Administrative Support for Mary Pappert School of Music Admissions.

Work closely with enrollment management using Dori and Slate.

Stocking of materials, swag, and flyers for prospects and events and ordering more when needed
Works with HR in processing incoming Graduate Assistants.

Community Music Center Support.

Preparing statements for City Music Center lessons, the trial lesson program, and audition payments to faculty.

Completes other duties as assigned.



REQUIREMENTS:

Minimum qualifications:


Bachelor’s degree from an accredited institution and 1-3 years of work-related experience.

Higher Education Experience.

Work in arts administration or in an arts related organization.

Preferred qualifications:

Bachelor’s degree in music, arts administration, higher education or related field from an accredited institution preferred.

Experience in university admissions preferred.

Familiarity with music or performing arts education strongly preferred.

Knowledge of Banner and Slate application process preferred,

Alternately, the successful candidate may possess any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to, the following:

Must be available to work some weekend and evenings per the recruitment event cycle.

Familiarity with music or performing arts education strongly preferred.

Excellent organizational, communication, and relationship-building skills.

Proven ability to continuously learn and integrate new technologies that support evolving institutional needs.

Ability to manage multiple projects simultaneously with attention to detail.

Demonstrated commitment to respect, inclusivity, integrity, teamwork and understanding
Ability to establish and maintain effective working relationships with the University Community.
